Job Purpose:

 

The HR Coordinator serves as a key role as a part of the Canadian HR team to seamlessly deliver solutions to our internal customers. This customer facing role involves impeccable communication, superb organization and collaboration on a global scale with a wide variety of stakeholders. Reporting to the HR Director, the ideal candidate will have great people skills as well as organizational and problem-solving skills to help wherever possible. In this highly visible role, the HR Coordinator is not only customer-focused, but also has a sense of urgency in this fast-paced environment. There will be an extensive variety of tasks from providing administrative support to managing many short to medium-term projects. Main Duties:

  • Maintain the HR database and files ensuring 100% data accuracy for all employees, verify and maintain required employee documentation, ensuring these are current and compliant
  • Coordinate and manage the On-Boarding process, ensuring consistency and quality is maintained for new employees joining Sophos for a smooth start and great experience
  • Support TA function with processes including but not limited to: maintaining job descriptions database, creating job requisitions in our ATS (Applicant Tracking System), external job postings as required, conducting reference/background checks and reporting and assist in special recruitment events (career fairs, expos) locally and beyond
  • Support and drive HR transactions including, compensation changes, status change requests, and handling employee transfers and exits
  • Manage the administration of health benefits package, troubleshoot related issues, and escalate issues to benefits carriers when required
  • Take ownership of answering employee inquiries relating to benefits, RRSP, HRIS, HR policies and more
  • Update and maintain HR content on intranet
  • Support yearly processes alongside with the full HR team (Salary review, Performance review, etc.)
  • Assist in creating HR policies and procedures within scope of responsibilities as needed
  • Manage and track vendor requisitions and purchase orders within our Procurement tool
  • Liaise with Immigration Consultant, HR team and employees on immigration related activities
  • Support the team with event planning and organizing employee events/conferences
  • Support ad hoc projects, tasks, activities, and processes throughout the year

 

Skills & Experience:

  • 1+ year of experience in an administrative focused HR role
  • Post-secondary certificate, diploma, degree or equivalent experience
  • Ability to working on highly confidential matters
  • Ability to handle high volume of admin work
  • Advanced MS Office knowledge including Outlook.
  • Experience working with HRIS or similar system is a plus
  • Good knowledge of HR processes
  • Exceptional interpersonal and communication skills, both verbally and in writing
  • High sensitivity in dealing with employees
  • Strong organizational skills and ability to prioritize multiple tasks
  • Client-service orientation with a strong focus on delivering exceptional customer service
