Job Purpose:

The Support Services Coordinator will perform a wide range of administrative activities for the department and/or managers and team members to facilitate the efficient operation of the organization.

 

Main Duties:

  • Manage facets of departmental budget tracking and reconciliation
  • Manage department headcount tracking
  • Manage department PO and invoice processing
  • Coordinate department purchasing
  • Organize department programs and activities
  • Provide administrative assistance to the department’s senior leadership team
    • Compose letters, reports, and presentations
    • Schedule and confirm meetings
    • Respond to general enquiries
    • Organize files and keep records
    • Prepare minutes of meetings
    • Compile data, statistics, and other information for reports
    • Coordinate department’s senior leadership travel
  • Coordinate local office activities
  • Manage special projects and other tasks and duties as required

 

Skills & Experience:

  • Proven administrative experience, ideally with finance-related or accounting background
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office
  • High school diploma or equivalent; college degree preferred
