Job Purpose

To deliver efficient administrative services and facilities coordination with focus on global health and safety related activities in accordance with the contract specification and agreed service levels to develop and maintain a positive relationship with the clients and customers.  


Main Duties

  • To carry out all Health and Safety related tasks, to include: -
  • Help update Checklist for Sophos global Health and Safety audit implementation 
  • Help initiate and develop the Health and Safety partnership among HR, local country management and facilities team to ensure success in the implementation of global Health and Safety programs
  • Conduct remote Health and Safety assessments and result validation in partnership with regional facilities and local Health and Safety teams
  • Validate and summarize Health and Safety audit findings 
  • Provide recommendations on identifying, developing, implementing and maintaining health and safety programs complying with safety legislations and regulations
  • Develop and assist in the coordination of training and awareness programs throughout the organization as required by regulations / relevant authorities
  • Assist in pioneering the process for global illness and injury reporting, incident investigation and monitoring; where required lead such investigations and partner with local management to ensure liaison with relevant authorities
  • Assist in the crisis management programs and contribute in the development and implementation of health and safety training contents, as required
  • To carry out all FM related tasks for the site, to include: -
  • Tender contracts in support of the Facilities operation and at the direction of the Local Facilities Manager
  •  Facilities Vendor Management.
  •  Follow up Facilities related queries 
  •  Assist with office moves where required and ensure layout of office is up-to-date.
  •  To be a point of contact to assist with call outs and emergency situations as they arise.
  •  To support the office re-design process. To work with any contractors on-site, ensuring the site is fully informed of the schedule of works being undertaken and report weekly. 
  •  Work as part of the team to ensure safety of SOPHOS employees, site guests and contractors.
  •  Carry out necessary risk assessment & audits to provide effective Health and Safety advice.
  •  Gather feedback from clients to identify areas for improvement within service offering.
  •  Undertake periodic process/system audits to ensure effectiveness and to identify areas for improvement.
  • To undertake any other responsibilities that are required to ensure the office runs smoothly and efficiently


Skills & Experience

  • Customer focused to build relationships with clients.
  • Interpersonal skills to be able to liaise with a wide range of individuals including clients and visitors to manage their expectations in a professional manner.
  • Understand the security needs of business and the impact it has.
  • Set priorities for individual work load.
  • Organised and proactive to ensure all contractual obligations are covered.
  • Demonstrates a willingness to learn and undertake training. Health and safety training, including first aid training.
  • Previous background in Facilities Management advantageous.
  • Quality driven attitude, attention to details is a must.
  • Knowledge of EH&S global legislation and/or regulations requirements relating to the high-tech industry preferable
  • Certified Safety Officer with Basic Occupational Health and Safety Training and First Aid Training, preferred, but not required
  • Ability to prepare and present multi-media presentations in business and training environment
  • Strong multi-level relationship building skills needed
  • Ability to work independently and as part of a global team
  • Proven experience in crisis management 
  • Ability to multi-task, prioritize and to handle emergency situations
  • Excellent customer service skills and professional demeanour
  • Excellent verbal and written communications
  • Above average computer and keyboard knowledge and ability to learn new systems and program.
