Job Purpose:

As the Canadian Payroll Specialist, you will have responsibility for the accurate and timely processing of the Canadian semi-monthly payroll for approximately 350 employees based in Vancouver & Ottawa. This role will also provide primary backup for processing of the US payrolls for approximately 600 employees. This position reports to the Americas Regional Financial Controller and will have heavy interaction with the US Senior Payroll Specialist.


Main Duties:

  • Process the Canadian semi- monthly payroll for approximately 350 employees based primarily in Vancouver & Ottawa.
  • Process and review new hires, LOA, terminations, payroll file maintenance changes and deductions.
  • Process data in ADP payroll module for: commissions, spot bonuses, retentions bonuses, relocation bonuses, retro pay, severance, gross up calculations, LOA pay, time batches for hourly employees.
  • Prepare semi-monthly payroll journal entries for posting into SAP general ledger.
  • Maintain accurate payroll information and safeguard data for staff’s confidentiality and privacy.
  • Respond to staff queries on payroll related matters in a timely, professional manner.
  • Assist with integration of newly acquired business units.
  • Provide reports to HR, Compensation, Finance, Tax and any other requests.
  • Provide data for the Quarterly and Annual tax reconciliation and payments for Canada BC EHT and WSIB & ON EHT.
  • Administer year end procedures for collection of data for reconciling taxable benefits and T4’s.
  • Provide back up to the US Senior Payroll Specialist via learning all procedures required to effectively and independently process the US payrolls.
  • Perform other position-related duties as required.


Skills & Experience:

  • A minimum of 3 years payroll processing experience.
  • Experience with ADP Pay @ Work and WorkForceNow payroll systems.
  • Strong understanding of Canadian Federal & Provincial payroll processing requirements in order to ensure accurate payments to staff and proper remittances of payroll taxes and reports to government agencies.
  • Solid communication skills in order to respond to staff and external agencies inquiries and to develop a strong working relationship with the Human Resources team.
  • Exhibit a high level of ownership of responsibilities with a commitment to detail and accuracy.
